As ubiquitous as Google is these days, some of its lesser known features are worth some attention, especially when it comes to file sharing and collaborating on projects. Like many people, I was accidentally introduced to Google Docs when I inadvertently selected the “open as a Google spreadsheet” option on an Excel attachment I had in one of my Gmail emails. My Excel file opened in my Web browser, and unimpressed, I closed it right away reverting to my old method of saving the file to my Desktop. About a month later, I did it again with an updated version of the same Excel file, only this time to realize that the file I had opened a few weeks ago was stored in my account.

As an avid supporter of the local legal community, Advance – The Document Specialists recently participated as a vendor in the Baltimore County Bar Association’s technology fair in Towson. The main focus of the event was a presentation given by Maryland District Court’s Chief Judge Ben Clyburn, about the Maryland Judiciary’s upcoming transition to an electronic case management system. In the future, Maryland Electronic Courts (MDEC) will electronically accept, maintain and share documents, while allowing new services to the Bar such as e-filing, e-service for secondary pleadings and electronic court document access, among others. In listening to Judge Clyburn describe the past and current phases of this ongoing initiative, I couldn’t help but smile, as it unfolded like a typical “document management” project. The type of project that Advance has been helping its clients with for over a decade. While MDEC is obviously designed solely for the legal community, Advance has been helping businesses in every industry by providing customized systems to fit their specific organization’s workflow needs. In its purest sense, document management is the electronic conversion of your paper-based workflow. It’s taking what once required a piece of paper to move through your organization through inner-office mail, Fed-Ex, or hand delivery, and streamlining it to be an electronic, compliant document that can move freely online or through a customized software package. Don’t stop reading – customized software sounds expensive, but it’s really not.
With the widespread adoption of smartphones and tablets, today’s workforce is relying more and more on consumer mobile devices to help them in their professional lives. It is not enough to have a company supplied desktop PC, or even a laptop, anymore.
